Privacy Policy
Eyes on Property LLC · Effective: September 13, 2026 · Questions: orders@eyesonproperty.com
Your privacy matters to us. Eyes on Property collects only the information needed to fulfill your order and operate our service responsibly. We do not sell your personal data to third parties, and we do not use advertising trackers on this website.
Section 1
What Information We Collect
When you place an order or interact with Eyes on Property, we collect the following categories of information:
- Name: Your full name, as provided at checkout, used to identify your account and personalize order communications.
- Email address: Used to deliver your report, send order confirmations and status updates, and respond to support inquiries.
- Phone number: Collected at checkout in case we need to reach you about a specific order detail or access issue.
- Property address: The full street address — including unit or suite number — of the property you want documented. This is the core information required to fulfill your order.
- Payment information: All card data is handled directly by Stripe. We never receive, transmit, or store your full card number, CVV, or card expiration date on our servers. We receive from Stripe only a payment confirmation token, your billing name, and the last four digits and brand of the card used.
- Photos taken during the field visit: Photographs captured by the assigned field vendor at the subject property. These images are the primary deliverable of your order.
- IP address and browser data: Collected automatically by our servers for security logging, fraud prevention, and platform integrity. This data is not used for advertising or behavioral profiling.
We do not store card numbers. Payment card data is processed entirely by Stripe, Inc. Eyes on Property never has access to your full card number, CVV, or expiration date. Your full payment details are never stored on our servers.
Section 2
How We Use Your Information
We use the information we collect strictly for the following purposes:
- Fulfilling your order: Dispatching a field vendor to the property address you provided, generating your documentation report, and delivering it via email and your order portal.
- Sending your report PDF: Delivering the completed report to your email address as a secure link to the PDF generated from your order.
- Order communication: Sending order confirmation, field-dispatch notifications, completion alerts, and responses to support inquiries via the email address on file.
- Service quality improvement: Reviewing completed orders for quality assurance and analyzing aggregated, anonymized data to improve our field-documentation guidelines and operations over time.
- Security and fraud prevention: Using IP address and access log data to detect unauthorized access, protect your account, and maintain platform integrity.
- Legal compliance: Retaining order records as required by applicable tax, accounting, and business record-keeping laws.
We do not use your information for unsolicited marketing, behavioral advertising, or cross-site tracking of any kind.
Section 3
Photos and Report Data
Photographs taken during your field visit are the core deliverable of our service. Here is how they are stored and managed:
- Storage: All photos are stored on Cloudflare R2, a secure private cloud object storage service. Files are not publicly indexed and cannot be discovered by browsing or search engines.
- Access control: Photos and your complete report are accessible only via a secure tokenized link unique to your order. This link is delivered to your email address and available in your order portal. The link is not guessable and is not indexed by search engines. Treat it as you would any sensitive document link.
- Retention period: Photos and report files are retained in active storage for 12 months after the date your report is delivered. After this period, files may be archived or permanently deleted at Eyes on Property's discretion. We recommend downloading and saving your report upon delivery.
- Deletion requests: After your report has been delivered, you may request early deletion of your photos and report files by contacting orders@eyesonproperty.com. Deletion requests are processed within 10 business days. Note that order metadata — name, address, payment reference, and order records — is retained separately for tax and legal compliance regardless of photo deletion.
Section 4
Information Sharing
Eyes on Property shares your information only in the limited circumstances described below.
- Field vendors: We share the property address and any relevant access instructions with the independent field vendor assigned to complete your order. Field vendors receive only the information needed to locate and document the property. They do not receive your payment information or full contact details.
- Stripe (payment processing): Your card data is entered directly into Stripe's secure checkout. We share your order amount with Stripe and receive a payment confirmation. Stripe's privacy policy governs their handling of your card data.
- Resend (transactional email): We use Resend to deliver order confirmation, status update, and report delivery emails. Resend receives your email address and the content of transactional messages sent on our behalf.
- Cloudflare (cloud storage and infrastructure): Property photos and PDF reports are stored on Cloudflare R2. Cloudflare's infrastructure also processes web traffic to our site under their standard data processing terms.
- Report assistance and property context: Google Gemini may receive selected field photographs, the property address, and field observations to assist with report preparation. Mapbox receives location queries for maps. BatchData and RentCast may receive the property address or location for public-record and market context. FEMA and Walk Score may receive location queries for their respective contextual data. Availability varies; missing information is not treated as a verified fact. These providers are not used to process your card details.
- Away Watch accounts: We associate recurring service, billing references, and monthly visit history with your email address. Stripe manages card storage, recurring charges, and the billing portal. Anyone with a secure report or account link may access the information authorized by that link; share it only with intended recipients.
- Legal authorities: We may disclose your information to law enforcement, courts, or government agencies if required to do so by law, valid subpoena, or court order, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Eyes on Property, our clients, or the public.
We do not sell your data. Eyes on Property does not sell, rent, or trade your personal information — including your name, email, phone number, or property address — to any third party for marketing, advertising, or commercial purposes of any kind.
Section 5
Payment Processing
All payment transactions on the Eyes on Property website are processed by Stripe, Inc., a third-party payment processor. When you enter your card details at checkout, that information is transmitted directly and securely to Stripe — it does not pass through Eyes on Property's servers at any point.
Eyes on Property receives from Stripe only:
- A tokenized payment reference (not your card number)
- Your billing name
- The last four digits and brand of the card used
- Confirmation of payment success or failure
We do not store, log, or have access to your full card number, CVV, or card expiration date at any point. How Stripe collects and uses your payment data is governed by the Stripe Privacy Policy.
Section 6
Data Retention
We retain different categories of data for different periods based on operational need and legal requirements:
- Order records (name, email, phone, property address, payment reference, order status): Retained for 3 years from the order date for tax compliance, business record-keeping, and dispute resolution.
- Photos and report files: Retained in active cloud storage for 12 months after the report delivery date, after which they may be archived or permanently deleted. You may request earlier deletion after your report is delivered.
- Security logs (IP address, access timestamps): Retained for up to 90 days and then purged, unless retained longer as part of an active security investigation.
- Marketing opt-out records: If you unsubscribe from non-transactional communications, a record of your opt-out is retained indefinitely to honor your preference.
When data is deleted, we take reasonable steps to ensure it is permanently removed from active systems. Backup copies may persist briefly before being fully purged according to standard data management practices.
Section 7
Your Rights
Depending on your jurisdiction, you may have certain rights regarding your personal information. Eyes on Property honors the following requests from all clients regardless of location:
- Request a copy of your data: You may request a summary of the personal information we hold about you and your orders at any time.
- Request correction: If information we hold about you is inaccurate — such as a misspelled name or wrong email address — you may request a correction.
- Request deletion of photos: After your report has been delivered, you may request deletion of the photos and report files associated with your order. We will process this within 10 business days. Photo deletion does not affect your order record, payment history, or any information we are required to retain for tax or legal compliance.
- Opt out of marketing: If you receive any non-transactional emails from Eyes on Property, you may opt out at any time by clicking the unsubscribe link or by emailing orders@eyesonproperty.com. Transactional messages — order confirmation and report delivery — cannot be opted out of while an order is active.
Limits on deletion for legal compliance: We cannot delete order records, payment references, or associated business records that we are required to retain under applicable tax, accounting, or financial regulations — even upon request. These records are retained for 3 years from the order date.
To exercise any of these rights, email orders@eyesonproperty.com with the subject line "Privacy Request" and include your order number or the email address associated with your account. We will respond within 10 business days.
Section 8
Cookies and Tracking
Eyes on Property uses limited browser storage for authenticated access. We do not use advertising cookies, behavioral tracking cookies, or third-party analytics platforms that profile your browsing behavior across the web.
- Staff access: Administrator and field-vendor interfaces use local or session browser storage for sign-in tokens. Access is also subject to server-side session validation and expiration; closing a browser alone does not necessarily end access.
- Private client links: Clients receive private account and report links by email. The account page may keep its access token in session storage while the page is used. Keep these links private and use a trusted device.
We do not use Google Analytics, Meta Pixel, TikTok Pixel, or any other advertising or behavioral tracking tool. No data about your visit to this website is shared with advertising networks. There is no cross-site tracking of any kind.
Request source: When you submit an order request, we may retain the campaign labels included in the page URL (source, medium, campaign, content, and term) and the referring website's domain to understand which channels lead to requests. This uses no advertising IDs, tracking cookies, or local storage, and does not retain the referring page's path or query string. These labels stay with the request; they are not sent to advertising networks. Do not put personal or sensitive information in campaign labels.
Section 9
Children's Privacy
Eyes on Property's services are intended for adults and are not directed at children under the age of 18. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected information from a minor, please contact us immediately at orders@eyesonproperty.com and we will take prompt steps to delete that information from our systems.
Section 10
Security
We take reasonable technical and organizational measures to protect the personal information we hold:
- HTTPS encryption: All data transmitted between your browser and our website is encrypted in transit using HTTPS/TLS.
- Secure cloud storage: Photos and report files are stored on Cloudflare R2 with access controls that prevent public enumeration or unauthorized retrieval.
- Access tokens: Report and photo links use unique, unguessable tokens. Links are not indexed by search engines and are not accessible without the specific token.
- Access controls: Access to order data and backend systems is restricted to authorized Eyes on Property personnel and contractors on a need-to-know basis.
Despite these measures, no method of data transmission or storage over the internet is completely secure. Eyes on Property cannot guarantee the absolute security of your information, and we are not responsible for breaches that result from circumstances outside our reasonable control. If you suspect unauthorized access to your account or order data, please contact us immediately at orders@eyesonproperty.com.
Section 11
Changes to This Policy
Eyes on Property LLC reserves the right to update this Privacy Policy at any time. When we make changes, we will update the "Effective" date shown at the top of this page. For material changes — changes that meaningfully affect how we collect, use, or share your personal information — we will send a notification email to clients who have placed orders in the preceding 12 months, using the email address on file.
Your continued use of our website and services after any update to this Privacy Policy constitutes your acceptance of the revised policy. If you do not agree with any updated policy, please discontinue use of our services and contact us at orders@eyesonproperty.com with any questions.
Section 12
Contact
If you have questions about this Privacy Policy, how your data is used, or wish to exercise your privacy rights, please contact us:
We aim to respond to all privacy inquiries within one business day. For formal data rights requests, please include "Privacy Request" in the subject line along with your order number or the email address associated with your order.
Website messages and lender lists
Contact requests include the contact details and message you provide. Lender lists also include property addresses, selected services, scheduling preferences, and your scope acknowledgment. We use them to review coverage, prepare a quote, coordinate paid work, and associate reports with your account. Do not include borrower details, loan balances, account numbers, SSNs, or private case documents. Stripe handles payment details; our staff and assigned field professionals receive information needed to fulfill the request.
